Job Introduction

BBC Studios is the biggest independent producer in the UK and winner of a prestigious volume of awards. It is home to BBC Drama, BBC Entertainment, BBC Comedy and BBC Factual, and under Factual’s umbrella are the Natural History Unit, the Specialist Factual Unit, the Science Unit and the Documentary Unit. This job role sits within the Indie Partnerships, Factual team within BBC Studios Productions. The small team manages relationships with a wide range of independent producers, with the aim of acquiring the best commercial and creative content for BBC Studios to exploit internationally.

The purpose of the Co-ordinator role is to provide comprehensive administrative assistance to the Indie Partnerships team. The role will be responsible for a broad range of administrative tasks e.g. the handling and direction of queries, acting as the first point of contact for the team, coordination of projects and activities.

Main Responsibilities

  • Provide comprehensive administrative and operational assistance to the team, using discretion to identify and resolve issues, referring to supervisor/manager for assistance as necessary.
  • Making sure programmes are correctly set up on key investment and sales systems.
  • Organise key team meetings including co-ordination and distribution of agendas, supporting documents, creation and distribution of minutes, and follow-up on outstanding actions.
  • Assist the Events and Marketing teams with preparation for events involving the team. Including but not limited to; sending producer invitations, info packs and client profiles to support meeting preparation, scheduling meetings between the producers and the distribution clients, hospitality arrangements & timings.
  • Maintain, efficiently operate and improve a range of processes and administrative systems to ensure the smooth running of the team.
  • Pro-actively manage and update the team’s content tracker, ensuring it provides the wider company with the most up-to-date information relating to the slate.
  • Prepare documents, presentations and other materials as needed, primarily on Word, PowerPoint and Excel. Including but not limited to; presentation slides, newsletters, sales reports and producer feedback documents.
  • Prepare straightforward analysis, manipulation and interpretation of data based on audience insights or sales reports.

Are you the Right Candidate?

  • Experience of providing administration assistance in some capacity.
  • Organised with ability to prioritise own workload effectively, to co-ordinate activities and conflicting demands to ensure tight deadlines are met.
  • Ability to work well under pressure, managing multiple workstreams at once.
  • Effective communication skills with the confidence to work well with range of people at all levels.
  • Ability to research, gather, analyse, collate and present information as required.
  • Proficient computer skills with strong experience of Microsoft Office software packages (i.e. Word, Excel and PowerPoint.).
  • Ability to use own initiative and deal with routine queries as they arise, escalating to others as necessary.
  • Strong attention to detail.

Desirable

  • Passion and/or experience in media/television/film industry.
