Bid Manager Summary

SPS is in search of an experienced and detail-oriented Bid Manager to join our dynamic team. As a Bid Manager, you will play a pivotal role in orchestrating and overseeing the entire bid process for our organisation. Your primary responsibility will be to ensure the seamless execution of bid submissions that align with client requirements. You will collaborate closely with multifunctional teams, including sales, marketing, finance, and operations, to gather essential information and craft compelling and competitive bid proposals. The ideal candidate should possess exceptional project management abilities, impeccable written and verbal communication skills, and an in-depth understanding of the intricacies of the bidding process.

Key Responsibilities:

  • Lead and manage the complete bid lifecycle, from identifying potential opportunities to the submission of bids and post-submission follow-up.
  • Collaborate harmoniously with internal stakeholders such as sales, marketing, technical teams, and subject matter experts to compile and consolidate inputs for bid submissions.
  • Thoroughly review bid documents, ensuring alignment with client stipulations, and disseminate pertinent bid information to the appropriate departments.
  • Formulate meticulous bid schedules and coordinate timelines to guarantee the timely accomplishment of all bid-related tasks.
  • Establish and maintain a centralised repository of bid content, encompassing templates, case studies, and supplementary documents.
  • Compose, refine, and format bid responses to craft accurate, compelling, and customised submissions that address the unique demands of each client.
  • Conduct comprehensive research on clients, competitors, and industry trends to elevate the quality and competitiveness of our bid proposals.
  • Meticulously proofread and edit bid documents, ensuring impeccable grammar, clarity, consistency, and adherence to brand guidelines.
  • Collaborate with the legal and contracts team to assess contractual terms and conditions, ensuring compliance with company policies.
  • Prepare captivating presentations and auxiliary materials for bid presentations and client interactions.
  • Track, analyse, and report bid performance metrics, identifying enhancement areas and proposing process optimisations.
  • Cultivate enduring relationships with clients and key stakeholders throughout the bid lifecycle.
  • Remain updated on the latest industry best practices and emerging trends in bid management and proposal development.
  • Supervise bid communications and emails to guarantee timely responses and effective communication with stakeholders.
  • Provide support to the Head of Bids and other Bid Managers on larger-scale opportunities as necessary.

Qualifications:

  • Batchelor's degree in business administration, marketing, communications, or a related field.
  • Proven track record in bid management, proposal coordination, or a comparable role.
  • Exceptional project management acumen, with the capacity to manage multiple bids concurrently and meet stringent deadlines.
  • Exemplary written and verbal communication skills, coupled with unparalleled attention to detail.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Familiarity with bid management tools and systems is advantageous.
  • Strong organisational prowess and adeptness in task prioritisation.
  • Collaborative spirit, with the ability to thrive in a cross-functional team environment.
  • Aptitude to perform well under pressure and adapt to shifting priorities.
  • Proficiency in the bidding process, encompassing RFPs, RFIs, and RFQs.
  • Comprehension of legal and contractual terms and conditions.
  • Keen analytical and research capabilities.
  • Professionalism and an unwavering commitment to maintaining confidentiality.
