Head of Planning - Reporting into: Head of events
Responsibilities
- Achieving agreed annual revenue and margin targets set by the Sales Director
- Quote, win and project manage large scale/multi-day events from initial brief and planning through to
- onsite delivery without fault.
- Understand client objectives and translate this into an event concept with actionable steps, working
- towards a managed deadline, inline with the Social Pantry guidelines
- Client management and relationship building with existing clients securing regular repeat growing business
- Proactively find new clients with the aim of winning new business.
- Lead meetings and communications with internal team throughout the event cycle
- Budget and margin management from planning to delivery and post-event reconciliation. Providing regular
- budget updates for clients and internal finances insuring set profitability levels and maximising revenue
- opportunities, and ensuring all client additions are quoted for accurately.
- Arranging venue site visits and creating KP/relevant reports for internal and client review
- Sharing post-event feedback in internal debriefs and assessing successes, gather feedback, and identify
- areas for improvement.
- Reviewing and documenting internal processes and proposing improvements/ streamlining procedures
- Support the Head of Events with all EventWorks, Job Sheet and Planner Handbook inductions for new
- planners. Where necessary, assist in training junior members of the team to ensure correct implementation
- of SOPs
- Support the Head of Events with management of the Planners, supporting with 121s where appropriate
- and be available to answer any queries and boost team morale and focus
- Assisting with onboarding new starters and training of CRMs across the company, updating handbooks and training material.
Ethos & Food
- Follow all seasonal, British and catering food trends closely
- Understand and appreciate food seasonality throughout the year and the impact on menus and offers
- Competition/industry benchmarking ensuring SP are keeping up with the industry
General
- Take an active interest in Social Pantry, the progress, growth and positioning of the company and Trust.
- Work ethically and as a team member of SP at all times and participate in projects as and when required.
- Go above and beyond to support and help other team members at all times.
- To work honestly and with the interest of Social Pantry and their teams at all times.
- To build up and actively monitor a database of SP clients
- Support and uphold Social Pantry`s sustainability policies.
- Enact and oversee environmental responsibilities where required.
